Full Stop Costume Studio Supervisor

Overview

The Full Stop Costume Studio Supervisor is responsible for overseeing the daily operations of the costume studio, ensuring the successful creation, alteration, maintenance, and organization of costumes in the production pipeline. This role involves supervising costume studio staff, managing budgets and schedules, creating timelines, maintaining inventory, and collaborating with the management team, clients and designers to bring creative visions to life while ensuring efficient workflow and cost-effective production.

Reporting Structure 

The Studio Supervisor will report directly to the Costume Studio Manager and Production Manager . As a key member of the Costume Studio, this position will collaborate closely with the co-owners, team members, contractors, vendors, clients, stake holders, producers, designers, and other creative team members to achieve departmental and organizational goals.  The team members and contractors of the Costume Studio will report directly to the Studio Supervisor.

Key Responsibilities:

  • Supervision & Leadership
    • Oversee and coordinate Costume Studio staff, including hourly, part time, contractors and sub-contractors
    • Assign tasks, monitor progress, and ensure work is completed to a high standard.
    • Provide guidance and training, fostering a positive and productive work environment.
    • Create and manage employee, and contractors’ schedules, tracking work hours and ensuring proper staffing for production needs.
    • Foster a positive and collaborative working environment within the costume department, providing guidance and support to team members, encouraging creativity and efficiency.
    • Working with the managment to develop and implement initiatives that promote an inclusive and welcoming environment for all team members at all levels.
    • Foster a sense of belonging by creating spaces for open dialogue and feedback.  Implement initiatives that boost employee morale and engagement, such as team-building activities, recognition programs, and employee spotlights.
  • Drive revenue growth through delivering projects to the expected quality while maintaining the timeline and budget.
  • Cultivate and maintain strong relationships with existing clients while also identifying and acquiring new customers. Ensure exceptional customer service and satisfaction.
  • Represent the company at industry events, trade shows, and networking functions. Actively engage in professional organizations to stay updated on industry trends and opportunities.
  • Project Management & Scheduling
    • In coordination with the Costume Studio Manager, develop and maintain costume production schedules in alignment with overall production timelines and delivery and shipping deadlines.
    • Ensure deadlines for progress check ins, fittings, alterations, and final delivery are met.
    • Adjust schedules as needed based on production changes, material availability, and staff workload.
    • Coordinate with client and other departments to align costume needs with rehearsals and performances.
    • Maintain excellent notes, documentation, photos, and files of all projects.
  • Costume Construction, Quality Control & Maintenance
    • Oversee the construction, alteration, fitting, and refurbishment of costumes.
    • Ensure proper sewing, draping, patternmaking, and costume craftwork techniques are used.
    • Maintain high-quality workmanship by inspecting all costumes for durability, fit, and overall appearance.
    • Identify and correct any costume defects, ensuring all pieces meet design specifications and production requirements.
    • Establish and enforce quality control standards to maintain consistency and functionality in all costume pieces.
    • Maintain and organize materials and supplies, ensuring items are in good condition and ready for use.
  • Budgeting & Inventory Management
    • Track, and manage costume budgets, ensuring cost efficiency.
    • Source materials while staying within financial constraints.
    • Maintain inventory records and manage supply orders.
    • Ensure all tools, equipment, and materials are well-maintained and available as needed.
  • Vendor & Contractor Management
    • Identify, negotiate, and maintain relationships with vendors, suppliers, and independent contractors for costume materials, specialty items, and custom work.
    • Research and source cost-effective, high-quality materials and equipment.
    • Coordinate with contractors as needed.
    • Oversee contracts, purchase orders, and invoices related to costume materials and outsourced work.
    • Ensure timely deliveries and maintain communication with vendors to address any production needs or issues.
  • Collaboration & Communication
    • Work closely with production teams to ensure artistic vision is met within budget and timeline.
    • Conduct fittings and adjustments to ensure costumes fit properly and function effectively.
  • Safety & Organization
    • Enforce safety procedures in the studio, ensuring compliance with workplace and fire safety regulations.
    • Keep the costume shop clean, organized, and well-maintained

Travel

The nature of the position may require occasional travel. Travel expectations will vary based on the specific needs of projects, clients, or business development activities. Team members in this role should be prepared for both domestic and international travel, as necessary.

Qualifications & Skills

  • Strong knowledge of costume design, garment construction, and fabric types.
  • Proficiency in sewing techniques, patternmaking, draping, and alterations.
  • Excellent leadership, organizational, and time management skills.
  • Ability to manage multiple projects, prioritize tasks, and meet deadlines.
  • Strong budgeting and inventory management experience.
  • Experience managing staff schedules, tracking hours, and maintaining workflow efficiency.
  • Strong attention to detail and ability to enforce quality control standards.
  • Experience working with and managing vendors, suppliers, and contractors.
  • Familiarity with theatrical, character and concert costumes in touring, theatres, theme park, cruise ship, parades, film, or television productions.
  • Effective communication and negotiation skills.

Education & Experience

  • Bachelor’s degree in Costume Design, Theatre, Fashion Design, or a related field (preferred).
  • Prior experience in costume shop management or theatrical costume production.
  • Experience supervising staff and managing budgets in a costume shop setting.
  • Experience or certification in Project or Program Management is a plus
  • Experience in vendor and contractor management is a plus.

Work Environment

  • Work takes place in a costume shop, theater, or production studio.
  • May require evening and weekend work, particularly during production periods.
  • Some physical demands, including lifting, bending, and standing for extended periods

Pay and Benefit Structure

  • USD Hourly $29-$32 per hour
  • Payroll will be bi-weekly in arrears.
  • All Full-time hourly Team Members are allotted 5 days of PTO per year, plus designated company holidays, paid. If a holiday falls on a production related workday or weekend, then an alternate date will be selected.
  • Benefits offered to Full-time hourly team members, include a company contribution to medical, dental and vision insurance.
